Import Student Data & Photos

Learn how to format your Excel spreadsheets and structure your student photos to utilize IdGenie's bulk auto-matching generation feature.

1. Preparing the Excel Data

Your data must be uploaded as either an .xlsx or .csv file. The system uses the column headers in the first row to map your data to the ID card template.

The 'ID_Number' Column is Mandatory

You must have a column that serves as a unique identifier for each student (usually ID_Number, Roll_No, or Student_ID). This exact value will be used to automatically find the student's corresponding photo.

2. Structuring the Photos

Instead of manually linking hundreds of images, you will upload a folder (or ZIP file) containing all student photos. The filename of each image must exactly match the student's unique ID from your Excel file.

Correct Naming

STU-2024-001.jpg
STU-2024-002.png
STU-2024-003.jpeg

Incorrect Naming

John_Doe.jpg
Image_1.png
STU-2024-003-photo.jpeg
  • Supported formats: .jpg, .jpeg, .png.
  • Recommended resolution: 300x400 pixels (Aspect ratio 3:4).
  • Maximum file size per image: 2MB.

3. The Auto-Matching Process

When you upload both your Excel file and your Photo folder, IdGenie processes them entirely locally on your device. Here is how the engine assembles the final ID cards:

1

Data Parsing

The app reads your Excel file row by row, identifying the core unique identifier (e.g., STU-2024-001).

2

Local Image Search

It scans the uploaded photo folder for a filename matching the exact identifier (ignoring file extensions like .jpg or .png).

3

Template Assembly

Once a match is found, the data and photo are injected into your chosen ID card template. If a photo is missing, a default avatar placeholder is used, and a warning is shown in the generation log.

100% Local Privacy

Because this matching happens inside your web browser using local compute resources, your Excel data and student photos never leave your device. No data is sent to our servers, ensuring total compliance with student privacy laws.
